Multiple drivers on a business car: what to arrange

In many companies different people drive the same car or van. That is practical, but requires clear agreements with the insurer and within the team.

Insurance

Tell the insurer that there are multiple drivers. Some policies cover any driver with the company's permission, others have a fixed regular driver. Young drivers may have a higher excess.

Trip log and benefit in kind

Agreements on damage

  • who reports damage and within what period;
  • whether the driver pays part of the excess;
  • how the car is checked at handover;
  • who is responsible for fines.

Do I have to name every driver?

That depends on the policy. Some insurers only ask for the regular driver.

Does the benefit in kind apply to a pool car?

Not if the car demonstrably is not used privately, for example because it stays on company premises overnight.

Who pays the excess?

In principle the company. Agree any contribution from the employee in writing in advance.
